
Setting Up The Automation For Your Chat Widget
Step-by-Step Guide to Set Up Chat Widget Automation
Access the Automations Section:
In the back end of your website, navigate to the Automations option located in the sidebar.
Create a New Workflow:
Click on Create Workflow.
You may see options for pre-built Recipes. If needed, explore these, but starting from scratch is often simpler.
Name Your Automation:
Enter a descriptive name for your automation (e.g., "Chat Widget Notification").
Add a Trigger:
Click on Add New Trigger.
Select Customer Replied as your trigger option.
Add a Filter: Choose Reply Channel and select Chat Widget. This ensures the automation triggers only when a response comes from the chat widget.
Set Up Internal Notification:
Click on the + icon to add an action and select Internal Notification.
Choose the notification method (email, ping, SMS, or all three). For this example, select Email.
Configure the email settings:
From Name: Use tags to personalize (e.g., Full Name).
From Email: Use the email associated with your Yak account.
To User: Specify the recipient, either a specific team member or a custom email address.
Customize the Email Content:
Set the Subject and add the necessary details in the body (e.g., contact’s full name, email, phone, and message).
Make sure to pull relevant data through custom values.
Test Your Workflow:
After setting everything up, run a test to ensure everything is functioning correctly. Make sure notifications are going to the internal user, not the customer.
Save and Publish:
Save your actions, toggle the automation on, and hit Publish.
Additional Notifications (Optional):
If desired, you can add more notifications, like SMS or another email. Set the message you want customers to receive and use the Send SMS action.
Optionally, implement a Wait action to delay notifications as needed (e.g., wait 30 minutes).
Final Check:
Review the setup and ensure all actions are as intended before completing the setup.
By following these steps, you will have successfully created an automated workflow for your chat widget, ensuring you receive timely notifications whenever a user interacts with it.
